Clock in and out remotely

Edit

This guide explains how to record an attendance punch directly from the Dashboard without using a biometric reader. Use this when you're working off-site, when the reader is offline, or when your manager has authorised remote punching for your role.

Remote clock-in is permission-gated. If the picker doesn't appear on your Welcome back card, you don't have the permission yet — speak to your manager or HR.

Before you start

  • You must be signed in to the application.
  • Your role must include the remote attendance permission. Check by looking at the Welcome back card: if you see a dropdown labelled — Select — under your status pill, you have it.
  • Your current attendance status must allow the action. You cannot clock in twice in a row, or clock out without first being clocked in. The picker disables itself when the action would conflict.

Step-by-step

  1. Open the Dashboard (the home page after signing in).
  2. On the Welcome back card on the left, locate the row beneath your status pill.
  3. Open the picker labelled — Select —:
    • Choose Clock In to start your work day or to return from a break.
    • Choose Clock Out to end your work day or to start a break.
  4. Click Confirm. The button stays disabled until you've made a selection.
  5. The card refreshes immediately:
    • The status pill switches between green (Clocked in) and red (Clocked out).
    • The Total Time Logged clock on the Today's Activity card starts updating once you're clocked in.
    • If this was your first clock-in today, First Check-in populates on the right card.

A success message appears in the top-right notification area. If something blocks the punch — duplicate state, missing permission, or a stale session — the same area shows the reason.

What gets recorded

A remote punch creates the same daily-attendance row a biometric punch would:

  • Date and time — the moment you clicked Confirm, in the server's timezone.
  • Direction — IN or OUT.
  • Source — flagged as a remote / manual punch so HR can audit it separately if needed.

For the meaning of each status pill colour, see Attendance status field definitions.

Common errors

  • "Clock In is already your current state" — you're already clocked in. Clock out first if you actually meant to log a break, or refresh the page if the status pill shows a different value.
  • "Permission denied" — your role lost the remote-attendance permission since your last login. Sign out and back in to refresh, then contact your manager.
  • The dropdown doesn't appear — same root cause as above. The Welcome card only renders the picker when the remote-attendance permission is active for your account.
